Job Opportunity: Office Administrator
This is part-time, in-office position; Monday through Friday 30 hours/week; occasional evenings as requested; annual NAMIWalks Westchester event on Saturday in May
Organization Description:
The National Alliance on Mental Illness of Westchester, Inc. (NAMI Westchester) is a grassroots organization dedicated to improving the quality of life for all individuals and families whose lives are affected by mental illness and co-occurring disorders.
Primary Responsibilities:
- Provide administrative support to Executive Director
- Support colleagues to further our work including program, development, outreach and more
- Answer mental health helpline with a warm, compassionate, knowledgeable and mission-driven voice that aligns with the values of NAMI Westchester
- Manage bookkeeping; experience with QuickBooks preferred
- Assist with all events, initiatives and special projects
- Organize and maintain accurate paper and electronic records and materials; manage mail
- Market events and programs and handle registrations; provide assistance during events
- Gather photos, draft articles and handle publishing of monthly newsletters
- Manage written communication, letters
- Assist in creation of email marketing using Constant Contact and of social media campaigns
- Additional duties as requested
Qualifications/Requirements:
- Strong communication skills both in writing and speaking with all constituents
- Proficient in office administrative procedures and have competent computer skills including Microsoft Outlook, Word, Excel, Teams, Power Point, Publisher and Canva helpful
- Comfortable learning new software programs and applications
- Work independently and collaborate as a team, multi-task, meet deadlines, take initiative
- Strong organizational skills, attention to details and ability to take initiative and meet deadlines
- Excellent communication skills including phone and in writing
- Flexible to accept new challenges and adjust quickly and graciously
- Financially responsible with a strong sense of ethics and ability to handle confidential information
- Fluency in Spanish is a plus
- Experience/familiarity with nonprofit work is a plus
Education/Training Experience:
- 2+ years’ administrative experience in an office setting
- Associate degree or at least two years of college
- Bookkeeping experience and knowledge of QuickBooks is helpful
- Marketing and development experience preferred, or the desire to learn these skills
- Experience with databases
Compensation: Non-exempt, part-time, fully in-person role in mid-Westchester office; $22 per hour; generous paid vacation, sick and personal days and holidays; 403b plan
