Registrar Assistant (Temporary, Part-time)

The Registrar Assistant, under the supervision of the Registrar and Collections Manager, provides registrarial support for HRM exhibitions. This is a temporary, part-time job: approximately 20 hours per week for seven months. Target start date: April 2025.

Responsibilities include:

  • Corresponds with exhibition lenders, drafts and sends loan agreements, and coordinates logistical needs associated for assigned exhibitions
  • Prepares condition reports and arranges shipping and insurance coverage
  • Organizes images and image permissions for select exhibitions and collections
  • Updates collection database, TMS Collections, with location moves, condition reports, exhibition histories, and other related fields as needed
  • Performs other related duties as assigned

Minimum Requirements:

Degree in Art History, Museum Studies, Library Science, or relevant field and demonstrated experience in museum registration, arts administration, collection management or related area within the fine arts industry.

  • Knowledge of museum registration, art handling, and preservation best practices
  • Possess detail-oriented skills with special attention to accuracy
  • Excellent project management and organizational skills
  • Ability to handle sensitive material and information with proper discretion
  • Strong written and oral communication skills
  • Knowledge of copyright, fair use, and licensing in regards to the visual arts
  • Ability to travel occasionally to offsite work locations, such as artist’s studios
  • Ability to work collaboratively in a team environment within the Museum and with a range of lending organizations and other outside constituencies
  • Proficiency in Gallery Systems TMS (or related database experience), Climate Monitoring software (Hobo Loggers, etc.), and other specific computer programs related to area of responsibility

Compensation:
$25 to $30 per hour, depending on level of experience.

HRM provides paid sick leave (“PSL”) in compliance with New York State’s Permanent Paid Sick Leave law providing 1 hour of PSL per 30 hours worked for part-time employees.
