Position Overview:

The Events Manager is responsible for planning, executing, and evaluating all fundraising events for Ronald McDonald House of the Greater Hudson Valley. This role plays a critical part in raising funds and awareness through special events, third-party fundraisers, and community-based engagement opportunities. The Events Manager builds meaningful relationships with donors, sponsors, and community partners, while coordinating events both inside and outside of the House Provide leadership and direction for the Next Wave Leaders Junior Board, ensuring its growth and alignment with the mission of the House.

Key Responsibilities & Tasks:

Event Management

  • Plan and manage all aspects of major fundraising events including ticketed, crowd-funding, and community campaigns.
  • Manage event and fundraising campaigns within the CRM.
  • Plan and manage all aspects of events in and outside of the House, such as Christmas in July and Polar Express Party.
  • Coordinate logistics, vendor relations, budgets, timelines, sponsorships, and post-event evaluations.
  • Oversee and manage all required documentation for events, such as vendor agreements, contracts, and event coordination timelines.
  • Lead recruitment, solicitations, and engagement of sponsors, vendors, auction items, volunteers, participants, and donors for events.
  • Schedule and supervise volunteers at events in and out of the House.
  • Develop promotional materials and marketing plans for events in collaboration with the marketing team.
  • Oversees and participates in logistics for event setup, including securing, delivering and setting up all necessary materials at event venues.
  • Participate in community outreach, fundraising, and marketing events, which may require setting up and breaking down event materials, transporting supplies, standing for extended periods, and moving throughout event sites.
  • Identify and oversee third-party fundraising efforts, supporting individuals and groups hosting events to benefit the House.
  • Track and report on event-related income, in kind items, expenses, and donor engagement.
  • Regularly evaluate the return on investment (ROI) of fundraising events to ensure effectiveness, inform future planning, and maximize revenue generation.

Data & Reporting

  • Maintain accurate records of events  and sponsor/donor donations and engagement using CRM and tracking tools.
  • Generate reports for internal planning and external reporting needs
  • Create content for social media and email marketing platforms, in coordination with the marketing team, to promote fundraising initiatives.

Next Wave Leaders Young Professional Board Management

  • Act as the primary staff lead for the Next Wave Leaders Young Professional Board, responsible for communication, meeting coordination, and ensuring initiatives advance organizational priorities.
  • Recruit, onboard, and mentor junior board to develop leadership, philanthropy, and volunteerism.
  • Coordinate monthly meetings and agendas, special projects, fundraising events, and volunteer initiatives led by the board.
  • Guide board members in planning independent fundraisers and awareness campaigns.

Special Projects

  • Other duties and projects as assigned by the Director of Marketing and Communication and/or Executive Director

  • Proficiency in database management and basic office technology (Google Workspace, Microsoft Office).
