Position Overview:

The Volunteer & Guest Services Coordinator plays a vital role in supporting the day-to-day operations of Ronald McDonald House of the Greater Hudson Valley. This individual ensures the safety, cleanliness, and welcoming atmosphere of the House, while also supporting families through check-ins and daily assistance. Additionally, the Volunteer & Guest Services Coordinator is responsible for scheduling, training, and overseeing volunteers on site, providing guidance and delegation of tasks to support House operations and family services.

Key Responsibilities & Tasks:

Guest Relations & Family Support

  • Serve as a welcoming, compassionate presence at the front desk during assigned shifts.
  • Assist with family check-ins/check-outs and provide orientation to new families.
  • Ensure House rules and policies are upheld in a respectful and supportive manner.
  • Respond to family needs and questions, providing resources or referrals when necessary.
  • Monitor safety, cleanliness, and organization of common spaces and guest areas.
  • Conduct regular walk-throughs of the facility to ensure presentation standards are met.

Volunteer Coordination

  • Answer questions about volunteer opportunities.
  • Develop and maintain volunteer schedules.
  • Manage the onboarding process of new volunteers including interview and orientation.
  • Act as a point of contact for volunteers while on site, ensuring they feel welcome and prepared.
  • Assign and oversee daily volunteer tasks related to housekeeping, food service, and hospitality.
  • Maintain records of volunteer hours and feedback.

Operations Support

  • Report facility issues or supply needs to the Director of Operations.
  • Support inventory tracking and organization of donated and program items.
  • Collaborate with team members to ensure the smooth operation of House routines.
  • Ability to move throughout the House, including frequent use of stairs in a multi-level facility.
  • Participate in loading, unloading, and organizing deliveries, donated goods, and program materials.
  • Perform hands-on operational tasks as needed to support House operations, events, emergency situations, and facilities needs.

Meals that Heal Program Management

  • Oversee the coordination and execution of the Meals that Heal program, from communicating expectations, ensuring kitchen readiness, and providing on-site support as needed.
  • Maintain accurate records of meal donations and volunteer participation while fostering a positive and mission-driven experience for all participants.

Special Projects

  • Assist with special events, family celebrations, and community volunteer projects.
  • Participate in cross-functional projects that support the mission of theHouse.
  • Other duties and projects as assigned by the Director of Operations and/or Executive Director

Required Skills & Competencies

  • Strong interpersonal skills and a commitment to compassionate, guest-centered service.
  • Organized and proactive in managing schedules and coordinating volunteers.
  • Ability to lead by example and delegate tasks clearly and respectfully.
  • Comfort working in a fast-paced environment with families in crisis.
  • Familiarity with CRM systems and basic office technology preferred.
  • Dependable, flexible, and collaborative team member.
  • Available to work evenings or weekends as needed.
