Founded in 1929, the Boys & Girls Club of New Rochelle (BGCNR) has been a place of hope and opportunity serving thousands of youths and has been an integral part of the New Rochelle community, offering youth safe and achievement-driven programming, focused on the whole child, encompassing academics, mental wellness, fitness, leadership, and civics.

Today, we serve over 12,000 youth each year, at two clubhouses and 12 school-sites. We offer after-school, before-school, elective, and summer programming designed to maximize positive impact and drive successful outcomes.

General Position

The Grants Manager is a critical member of the finance team, responsible for the end-to-end financial lifecycle of a diverse portfolio of county, state, and private funding. This role ensures rigorous compliance, accurate budgeting, and timely revenue reconciliation to support the mission of the Boys & Girls Club. The ideal candidate combines technical accounting expertise with the ability to translate complex financial data for non-financial program staff.

As appropriate the grants manager supports the revenue reporting, budgeting and audit processes for the organization.

Key Position Responsibilities

Financial Compliance & Reporting

  • Manage all financial-related grant and contract compliance requirements to ensure adherence to funder mandates.
  • Prepare and submit accurate, timely financial reports and invoices for federal, state, and private funding sources.
  • Execute monthly billing for all awards, including detailed voucher billing.
  • Facilitate the full grant closeout process for all expiring awards within the assigned portfolio.

Accounting & Operations

  • Review monthly financial statements, P&L, and General Ledger details; prepare journal vouchers for necessary corrections.
  • Perform revenue reconciliations for grants and miscellaneous income.
  • Set up and maintain new grants within Fund-EZ, ensuring alignment with Agency standards.
  • Serve as a backup for other finance office staff to ensure continuous operational support.

Budgeting & Audit Support

  • Develop and review budgets for new grant proposals and existing programs in collaboration with program leadership.
  • Support the annual organizational budget preparation process.
  • Prepare reconciliations and supporting schedules for external audits and monitoring visits.
  • Gather and provide necessary documentation to satisfy all audit-related requests.

Process Improvement

  • Contribute to the maintenance and enhancement of finance office accounting policies and procedures.
  • Proactively identify and implement efficiencies in finance operations and grant management systems.

Required Knowledge, Skills and Abilities

  • Education: Bachelor’s degree in Accounting or a closely related field is required.
  • Experience: Minimum of 5+ years of experience in grant management and claiming within a complex non-profit environment.
  • Technical Skills: * Proficiency in Fund-EZ or similar non-profit accounting software.
    • Advanced Excel/Google Sheets skills with a high degree of accuracy and attention to detail.
  • Soft Skills:
    • Exceptional organizational and time-management capabilities.
    • Strong interpersonal skills, with the ability to engage effectively with external funders and non-financial internal colleagues.

Preferred Skills

  • Deep understanding of non-profit cost allocations and GAAP principles.
  • Experience coordinating directly with external auditors.
  • Familiarity with donor databases.
