Support Assistant: Full-time, 35 hours per week, Monday-Friday

 

GENERAL FUNCTION: Our Support Assistant works collaboratively to support and strengthen the organization’s operations. Typically, this involves a mix of reception, administrative duties, staff support and office management assistance. This position may also assist in project and event planning and execution.

 

Reports to: Support Team Supervisor – Intake Specialist

 

RESPONSIBILITIES INCLUDE:

 

  • Ensures efficient and professional operation of front desk services.
  • Maintains a clean, organized and welcoming reception area.
  • Supports the organization and maintenance of office supplies and inventory, including updating and maintaining inventory and ordering spreadsheet in collaboration with Support Team Supervisor
  • Follows established intake and documentation procedures for in-person and telephone interactions, ensuring accurate and timely data entry in the WDOM database.
  • Supports Supervisor to ensure database integrity by identifying and addressing inaccurate, incomplete or outdated information.
  • Supports program staff with additional duties and responsibilities with Supervisor’s approval and collaboration.
  • Maintains and audits master resources and referrals spreadsheet, ensuring accurate and current information
  • Attends required and relevant WDOM events and actively participates in organizational activities
  • Assists Operations in execution of monthly staff luncheon
  • Assists with coordinating conference room bookings, set up and cleanup
  • Performs additional duties and responsibilities as needed to support the agency and its operational needs

JOB REQUIREMENTS AND QUALIFICATIONS:

 

  • Excellent time management skills and ability to multi-task and prioritize work.
  • Associates or bachelor’s degree preferred.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to remain calm and professional under pressure.
  • Effective de-escalation and conflict management skills.
  • Strong organizational and project coordination skills.
  • Proficiency in Microsoft office; specifically, Outlook, Teams and Excel.
  • Must be organized and able to work both as a team and independently.
