Director of Finance

Founded in 2012, The Acceleration Project (TAP) is a nonprofit that empowers under-resourced small business owners with high-impact, customized strategic, financial, operational, and marketing support, all provided at no cost to the businesses we serve. TAP has worked with more than 18,000 small business owners across 48 states, delivering over 70,000 hours of pro bono consulting and generating a validated 10:1 social return on investment.

Role Overview
The Director of Finance is TAP's financial steward and a strategic partner to senior leadership. Reporting to the Chief Operating Officer, you'll own the full spectrum of the organization's financial operations: monthly close, grant finance, audit coordination, payroll, and internal controls. You'll bring both the technical rigor to keep TAP's finances accurate and compliant and the analytical fluency to translate numbers into insights that inform real decisions.

TAP is expanding geographically, scaling programs, and investing in new infrastructure, and this role will grow with us.

This is a full-time, primarily remote role. Candidates must be based in Westchester County, NY and able to attend occasional in-person meetings and events.

What You'll Do

Lead Financial Strategy, Reporting & Accounting
Support annual budgeting and planning, including operating budget prep, forecasts, scenario analyses, and budget-to-actual reporting. Manage monthly close and distribute financial reports to leadership (P&L, Balance Sheet, GL detail, budget-to-actual, AR, deferred revenue, cash reserves, investment activity). Provide financial analysis to leadership and the Board, including cash-flow forecasting, unit economics, and cost-per-client/program analysis. Oversee bank/credit card reconciliations, GL integrity, expense allocations, prepaid expenses, and fixed assets. Establish GAAP-compliant accounting policies, including proper treatment of restricted/unrestricted grants, contributions, donated services, sponsorships, and program revenue. Continually strengthen controls, documentation, and technology/automation use.

Manage Cash & Investments
Oversee organizational cash balances and liquidity; prepare rolling cash-flow forecasts to maintain operating reserves. Manage banking relationships across operating, receipts, money market, and investment accounts, with fraud-prevention and access controls. Prepare liquidity analyses and investment schedules for leadership and the Investment Committee, coordinating on strategy and cash needs.

Oversee Invoicing & Accounts Receivable
Manage client, sponsor, 1099, and grant invoicing in QuickBooks Online, coordinating with Programs, Growth, and Development for accurate billing. Maintain AR to industry standards, including aging reports and collections follow-up. Record payments and maintain supporting documentation.

Support Contributions & Fundraising
Manage donation recording/reconciliation across QuickBooks Online and Salesforce with the Development team. Prepare donor tax acknowledgments and receipts. Support grant applications and funder reporting with accurate financial data, grant budgets, and restricted-grant schedules. Prepare event financial schedules, including fair-market-value considerations for tax/audit purposes.

Manage Vendor Payments & Payables
Oversee AP and payment processing, including approvals, documentation, and policy compliance. Maintain the centralized payment-request workflow for vendor invoices and reimbursements. Oversee vendor/contractor onboarding, tax documentation, and year-end 1099 reporting. Maintain expense approval and contract procedures, including materiality thresholds and segregation of duties.

Lead Audit, Tax & Regulatory Compliance
Lead the annual external audit, including schedule prep, auditor coordination, and review of draft financials. Support the Audit Committee's review and follow-up on recommendations. Oversee Form 990, CHAR500, and other regulatory filings. Maintain year-round audit readiness across grant schedules, investment rollforwards, and internal-control documentation. Monitor and implement changes in accounting, tax, payroll, and regulatory requirements.

Administer Payroll, Benefits & Retirement
Oversee semi-monthly payroll via ADP, including new hires, terminations, and adjustments. Maintain payroll analysis and ensure accurate cost allocation across Program, Management & General, and Fundraising. Administer finance-related benefits (health insurance, workers' comp, 403(b)), coordinating with HR, brokers, and plan administrators. Support benefit renewals, reconciliations, and retirement-plan compliance reporting.

Manage Insurance & Risk
Manage TAP's insurance portfolio and renewals (general liability, D&O, E&O, workers' comp, cyber, and other coverages). Periodically assess coverage and organizational risk, recommending changes to leadership. Maintain financial-system access controls and fraud-prevention procedures.

Strengthen Internal Controls & Systems
Maintain and update TAP's Internal Control Walkthrough and Accounting Procedure Summary. Conduct routine control reviews of cash activity, approvals, and system access. Develop and maintain SOPs for key finance processes. Maintain data integrity across QuickBooks Online and related platforms, coordinating with Technology on security/access. Identify and implement automation and AI-enabled improvements to reporting and controls.

What You Bring

Required:

  • Bachelor's degree in a relevant field
  • 5–8 years of experience in financial and operational management
  • Nonprofit accounting, financial reporting, budgeting/forecasting, audit coordination, grants management, revenue recognition, payroll, and regulatory compliance experience strongly preferred
  • Strong working knowledge of GAAP and nonprofit financial reporting standards
  • Ability to translate financial concepts to non-finance colleagues, leadership, the Board, and external stakeholders
  • Proficiency in accounting/reporting software; QuickBooks Online experience and managing data across multiple systems preferred
  • Strong analytical, organizational, project-management, and problem-solving skills
  • Excellent communication, judgment, discretion, and relationship-building skills
  • Technology-savvy, with demonstrated ability to improve financial processes and adopt new tools
  • Demonstrated commitment to integrity, credibility, and sound financial stewardship
  • Capacity to work in a fast-paced, collaborative environment and meet recurring deadlines
  • Must reside in Westchester County, NY; occasional in-person attendance required for team meetings and role-related errands

Preferred:

  • MBA, CPA, or related advanced degree
  • Senior financial management experience in a nonprofit setting
  • Demonstrated use of AI tools to improve financial reporting, documentation, or efficiency

Compensation & Benefits
Salary: $70,000–$75,000, commensurate with experience. Generous PTO, 10 paid holidays, 2 floating holidays, and time off between Christmas and New Year's. Health and dental insurance. 403(b) retirement plan.
